How CoverDial works
We set up your AI receptionist for you. You forward your calls to it. Every caller gets a conversation, and you get a clear message.
From first call to live, in four steps
Tell us about your business.
On a call, we ask about your services, hours and holidays, your service area, who should get messages, and what counts as urgent. If you have a website, we start from it.
We build it and test it.
Your receptionist is built from your details. Before anyone hears it, it's tested on realistic practice calls: an urgent call, an after-hours call, a Spanish speaker, an emergency, someone offering card details.
You hear it first.
You call your new number and try it. Tell us what to change. Our team checks and approves it before it answers your customers.
Forward your calls.
We send you the forwarding steps for your phone provider, and help you set them up. We make a test call to your business number to check it works.
Choose which calls it answers
Your phone provider decides when a call goes to CoverDial. We help you set it up.
Every call
Forward all your calls, and your receptionist answers each one.
When you're busy or don't pick up
Use your line's “forward when busy or unanswered” setting. If your office manager is already on a call, or nobody picks up, the next caller gets a friendly answer instead of your voicemail.
After hours
Forward only when you're closed, if your phone provider lets you schedule it.
Texting: urgent text alerts start once your texting registration with the carriers is approved. The carriers set the timing, and the registration is included.
What your callers hear
Short, friendly answers, one or two sentences at a time.
- A greeting with your business name, saying it's an AI assistant and the call is recorded.
- Questions to get what you need: their name, the reason for the call, the best callback number, and whether it's urgent.
- Your hours, told correctly, including holidays you've set.
- In an emergency, an instruction to hang up and call 911. If someone mentions harming themselves, the 988 crisis line.
- If they don't want to be recorded, your email or website instead.
- Spanish, if they'd rather.
- A proper goodbye. It asks “Is there anything else?” before the call ends.
After every call
- An email summary within minutes: who called, why, how to reach them, the next step, and whether it's urgent. It's designed to leave out card numbers, passwords and health details.
- Urgent in the subject line for urgent calls, and a text to the people you choose once texting is approved.
- The recording and transcript in your online account (coming soon). Until then, ask us for any call.
- Spam and robocalls are ended politely and don't use your minutes.
Books appointments on your calendar (coming soon)
Your receptionist will be able to check your Google or Microsoft calendar, offer a free time and book it. It isn't available yet: today it takes the caller's details and the times that suit them, and you call back to confirm.
When a call can't wait
Every package
Urgent calls are marked Urgent in the email's subject line, and texted to you once your texting registration is approved.
Professional and up
During your office hours, the caller can choose to be put through to you. You hear a short briefing first and decide whether to take it. If you can't, the caller goes back to the receptionist, which takes an urgent message.
If something goes wrong
We'd rather tell you now.
- If the AI can't answer, your calls go to a backup number you choose, usually your cell (or, when available, voicemail sent to your email).
- If our phone carrier has an outage, we tell you straight away, with the steps to switch your forwarding off so your phone rings again.
- We watch it around the clock with automatic checks.
- It answers every call, day and night, while our systems are up. No phone system can promise more, and we won't.
People when you need them
Our support team is available Monday to Friday, 8am to 5pm Central. Your receptionist answers every call, day and night. Human support is closed on New Year's Day, Memorial Day, Independence Day, Labor Day, Thanksgiving and the day after, and Christmas Day; the receptionist still answers every call.
