Privacy Policy
Version 1.0. Effective October 3, 2026.
CoverDial is an AI phone receptionist for businesses, sold and run by Elevate IT Solutions LLC, a Missouri limited liability company ("Elevate", "we", "us"). This policy explains what personal information we handle, why, who we share it with, how long we keep it, and the choices you have.
It covers three groups of people, and we handle their information in different roles:

If you called a business and want to know what it does with your information, or want a recording deleted, please contact that business first. Its own privacy policy applies, and we'll help it respond.
1. Information about visitors to our website
- Server logs. Our hosting provider, Vercel, keeps standard server logs, including IP addresses, to run and protect the site.
- Reserving a spot. See "Reservations" below.
- Emails to us. If you email us at support@coverdial.com, we keep the email to reply and follow up. Our email runs on Microsoft 365.
- Bot protection. Our reserve form uses Cloudflare Turnstile, which checks your browser to tell people from bots.
We don't use website analytics, advertising cookies, tracking pixels or session recording, and we don't sell or share visitors' information for advertising.
Reservations
If you reserve a spot for CoverDial on our reserve page, we collect:
- what you enter: your name, business name, email, phone number, type of business, roughly how many calls you get a month, who answers your calls today, and, if you give them, the number you'd forward to CoverDial and your note to us;
- your contact choices (whether we may contact you about your reservation, and whether you also want occasional news and offers), with the version of the wording you agreed to;
- the page you reserved from, and any campaign tags in the link you followed;
- for spam control, salted one-way hashes of your IP address, your browser and your email address. We don't store your IP address itself.
Why: to contact you about CoverDial's launch and your reservation, to send you occasional news and offers only if you ticked that box, and to keep spam and repeat submissions off the form.
Who receives it: our hosting and database providers (Vercel and Neon); Cloudflare, for the Turnstile check; Postmark, which sends your confirmation email and our internal reservation notice; Microsoft 365, where that notice arrives in our support@coverdial.com mailbox; and DealPortal, our customer-relationship system, which receives your reservation (with only the last four digits of any forwarding number). See "Our service providers" below.
How long: we keep it until you ask us to delete it. Email support@coverdial.com to see, change or delete it.
2. Information about our clients and their staff
- Account and business details: business legal name, address, website, EIN (or, for sole proprietors, the owner's details the texting registration requires), industry, billing contacts, and the names, roles, emails and mobile numbers of the people you add.
- Sign-in details: email address, a securely hashed password, two-step sign-in settings, and session records (which can include the IP address and browser used).
- Your receptionist's settings: hours, holidays, services, FAQs, transfer and alert numbers, and each published version.
- Billing: your plan, invoices and payment status. Our payment processor, Stripe, handles card and bank details; we keep at most the type and last four digits.
- Terms acceptance: which version of our Terms of Service you accepted, and when.
- Support: your messages and calls with us.
We use this to provide the Service, set up and register your phone numbers and texting with carriers, bill you, keep the Service secure, support you, meet legal obligations, and improve CoverDial. We send you service emails (call summaries, alerts, and account and billing notices) about your account. If we ever send you marketing email, it will have an unsubscribe link.
AI features. We use an AI model from Anthropic to test your receptionist against practice conversations before changes go live and, as those features become available, to help you set up and change your receptionist from what you type or your public website. See "Who we share information with" for exactly what reaches Anthropic.
3. Information about callers (handled for our clients)
When a business uses CoverDial and you call it, its receptionist tells you at the start of the call that it's an AI assistant and that the call is recorded. If you'd rather not be recorded, say so: it will offer you the business's email address or website and end the call.
On each call we process, for the business:
- The call itself: your phone number (caller ID), the number you called, the time and length of the call, and network information about the call (such as whether the caller ID was verified, to filter spam).
- What's said: an audio recording of the call and a written transcript. To understand you and reply, our phone provider uses speech recognition, an AI language model and a computer voice.
- A summary: what the receptionist writes down for the business, such as your name, company, callback number, the reason for your call, whether it's urgent, and the next step. The summary is designed to leave out card numbers, passwords and health details. They may still be in the recording and transcript if you said them, so please don't share them on the call.
- Transfers: if you're put through to someone, which number the call went to and whether it connected.
- Texts, once the business uses texting: if you ask for a text and agree on the call, your number, the time, the call it came from and the texts we send. If you reply STOP, we record that too. See "Text messages" below.
We use caller information only to provide the Service to that business: answering, taking and delivering your message, transferring your call, texting you when you asked, keeping the business's call log, filtering spam and abuse, and keeping the Service working and secure. We don't use it for our own marketing, we don't sell it or share it for advertising, and we don't build profiles of callers across businesses. Our phone provider may use call data under its own data-processing terms to develop and improve its services (see below).
Our demo line, when available. If you call a CoverDial demo number, you're talking to a made-up business that we run. The same disclosure, recording and summary apply, and we are the business. We use demo calls to show how the product works and to improve it, and, only if you ask, to follow up with you. We text you from the demo line only if you ask and agree. Calls to the public demo line are recorded and deleted after 30 days.
4. Text messages
Businesses that use CoverDial can, once texting is available to them and the mobile carriers have approved their registration, send a few kinds of texts about calls. Each business texts under its own name, with CoverDial sending the messages for it. No marketing texts are sent.
- Texts to callers: a confirmation that the business got your message, your callback or appointment details, or a reply to the request you made on the call. You get a text only if you ask for one on the call. The receptionist then tells you that by giving your number you agree to receive call follow-up texts from that business, that message frequency varies, that message and data rates may apply, and that you can reply STOP to opt out or HELP for help, and it waits for a clear "yes". Giving your number is never a condition of any purchase, and you can say no and still leave a message.
- Texts to a business's own team: alerts about urgent calls. Each person agrees the same way, out loud, on a recorded call.
- How many: usually one to three messages about a call for callers; for staff alerts, it depends on how many urgent calls the business gets. Message frequency varies.
- Costs: message and data rates may apply, according to your mobile plan. Neither the business nor CoverDial charges you to receive these texts. Carriers are not liable for delayed or undelivered messages. Texts go to US mobile numbers only.
- Stopping. Reply STOP (or STOPALL, UNSUBSCRIBE, CANCEL, END, QUIT, REVOKE or OPT OUT) to stop all texts from that business's number. You'll get one final text confirming it, and no more after that. We also honor any other reasonable way you tell us or the business to stop. Opt-outs take effect straight away, and never later than 10 business days.
- Starting again. Reply START to receive texts again.
- Help. Reply HELP for the business's contact details, or email support@coverdial.com.
Mobile numbers and text consent are never shared for marketing. We don't sell, rent or share mobile numbers with third parties or affiliates for their marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except the providers that deliver the texts for us (our messaging provider and the carriers), only to send them.
6. How long we keep it

7. Your choices and rights
Callers
Contact the business you called. It can have a call's recording and transcript deleted and answer your questions. If you contact us, we'll pass your request to that business and help it respond, but we can't act on it ourselves without the business's instruction. You can always choose not to be recorded by saying so at the start of the call, and you can reply STOP to any text.
Clients, staff and visitors
You can ask us to tell you what personal information we hold about you, correct it, delete it, or give you a copy, by emailing support@coverdial.com. We'll confirm who you are first, respond within 45 days, and won't treat you differently for asking. Some information we must keep (for example invoices).
State privacy laws
Residents of California and of other states with comprehensive privacy laws (such as Colorado, Connecticut, Virginia and Texas) may have rights to know, access, correct, delete and port their personal information; to opt out of its sale, of "sharing" for cross-context behavioral advertising, and of profiling; and to appeal our decision. We don't sell personal information, don't share it for cross-context behavioral advertising, and don't use it for profiling that produces legal or similarly significant effects, so there's nothing to opt out of. We still honor a Global Privacy Control signal as an opt-out. If we deny a request, you can appeal by replying to our decision, and we'll answer within 60 days. You can use an authorized agent.
Sensitive information
We don't intend to collect sensitive information (health, financial account numbers, precise location, government IDs) from callers, and the receptionist is set up not to ask for it. If a caller volunteers it, it may be in the recording and transcript.
8. Security
We protect information with measures that include: encryption in transit (HTTPS) and at rest at our hosting and database providers; each business's data separated at the database level and tested on every change; two-step sign-in required for our staff who can reach client data; per-business credentials encrypted; our keys and passwords held in a secrets manager; and error reports and logs kept free of caller content (phone numbers shown by their last four digits only). No system is perfectly secure. If a breach affects your personal information, we'll notify you and the affected business as the law requires.
9. Children
CoverDial is a service for businesses and isn't directed to children. We don't knowingly collect personal information from children under 13 through our website or portal. A child might call a business that uses CoverDial; that call is handled for the business like any other. If you believe we hold a child's information in error, contact us and we'll delete it (or pass the request to the business).
10. Where information is processed
We and our main providers process information in the United States, and our database runs in a US region. Some of our phone provider's AI subprocessors may process information outside the United States.
11. Changes to this policy
We'll post any change here with a new date and, for a material change, email clients at least 30 days before it takes effect.

Human support is closed on New Year's Day, Memorial Day, Independence Day, Labor Day, Thanksgiving and the day after, and Christmas Day; the receptionist still answers every call.
